Why I value your privacy
I value your privacy as much as I value my own, so I’m committed to keeping your personal and business information safe.
I only collect the information I genuinely need to deliver my services. I’ll never sell or share your data, and I’ll only disclose it if legally required to do so.
How I collect information
I may collect information when you:
- Contact me through my website (e.g., your name, email address, phone number, and company name).
- Email me directly.
- Sign a contract or document via Zoho Sign.
- Complete forms or questionnaires via Zoho Forms (for example, discovery questionnaires and milestone feedback).
- Work with me on a project or make a payment via bank transfer.
- Use my website, where I use Google Analytics to help me understand visitor behaviour (only after consent is given via my cookie banner).
Occasionally, I may receive contact information from a referral or business partner, and if I do, I protect it in the same way as if you had given it to me directly.
What information I hold
When you contact me, I may store your name, email address, phone number, and company name. If we work together, I also store project-related files and notes that help me complete the work you’ve asked for.
When you make a payment, it’s handled securely by bank transfer. I don’t process online payments through my website or hold any card information. I may store your business name and bank details for invoicing and accounting purposes in line with HMRC requirements.
Where I store your information
Your information is stored securely across several trusted systems and locations:
- Email correspondence is stored in Zoho Mail.
- Signed contracts and important documents are stored in Zoho Sign.
- Client website backups are stored in Dropbox, which is secured with encryption and strong passwords.
- Login credentials and access details (such as hosting and website accounts) are stored securely in Zoho Vault, which uses end-to-end encryption.
- Newsletter and company update subscriptions are managed through Mailchimp, a GDPR-compliant email marketing platform. These emails include important updates about Macast Media, such as new features or company news, and you can unsubscribe at any time.
- Local files, including client paperwork, media, and client details, are stored on my password-protected computer.
- Backups of my local files are saved to an external solid-state drive, which is securely stored in my home office.
No one else has access to these systems or devices. Some third-party services (such as Zoho, Mailchimp, and Dropbox) may store data outside the UK. When they do, they apply appropriate safeguards to meet UK GDPR standards.
All systems and devices used to store client information are protected by Bitdefender security software, which includes real-time antivirus, ransomware protection, and network threat prevention.
How I use your information
I use your information to:
- Respond to enquiries.
- Deliver the services you’ve requested.
- Manage invoices, contracts, and communication.
- Keep a record of my business relationship with you.
- Notify you of important information about your website, especially if you’re on a Support Plan subscription (such as updates, maintenance notices, or technical issues).
When you sign a contract with me, you’ll be added to a mailing list for important business updates about Macast Media. You can unsubscribe at any time.
My lawful basis for processing this information is to perform a contract with you or take steps at your request before entering into a contract (for example, providing quotes or responding to enquiries). In some cases (such as email updates or analytics), I rely on your consent, which you can withdraw at any time.
Who’s responsible for your information

For privacy and security reasons, I don’t publish a postal address. However, you can reach me by email at any time for data or privacy-related enquiries.
Who has access to your information
Only I have access to the information I collect. I don’t employ staff or subcontractors who would need access to client data, and I never share your details with third parties unless legally required.
The steps I take to keep your information private
I use strong, unique passwords for all accounts and store them securely in Zoho Vault, an encrypted password manager. Where needed, client login credentials are also stored locally on my password-protected computer for backup or offline access. Both systems are password protected and are only accessible by me.
My computer is protected by Bitdefender, which provides real-time antivirus protection, firewall management, ransomware remediation, advanced threat defence, and anti-tracking. This ensures your data remains secure against malware, unauthorised access, and online threats.
All of my devices are protected by password and biometric access. Whenever I store data in third-party services (such as Zoho, Mailchimp, or Dropbox), I choose providers that are GDPR-compliant and based in the UK or EEA, or that follow equivalent data protection standards.
How long I keep your information
I keep your personal information only for as long as necessary to deliver my services and meet legal or tax obligations. For most clients, that means retaining records for up to 7 years after our last interaction, in line with HMRC requirements. After this, data is securely deleted or destroyed.
Your rights
You have the right to request access to the personal information I hold about you, to correct it if it’s inaccurate, or to request that it be deleted where appropriate. You also have the right to object to or restrict certain types of processing.
